How do I use Gmail, Google Calendar and Drive?

Grant access with your Google account so your flows can send email, write calendar events and work with files and sheets.

What they have in common

Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets and Google Slides connect in one click: press the button on the provider page, choose your Google account and approve with every box on the consent screen ticked. The Owner or an Admin can do this.

Once connected, each app appears with its own card in the flow editor under “Add step” → “Integrations”. Actions run for everyone who runs the flow, exactly as you set the step up; the assistant can also use the actions you pick in the AI Assistant step's “Integrations” tab.

Actions that delete, share or send from your account don't run until you tick the confirmation box on the step, and they run under an hourly limit. Deleting and sharing can only touch an item you picked or one the flow listed earlier.

If you leave a box unticked on the consent screen, the connection comes back with “A required box was left unticked on Google's permission screen”; tick all the boxes when you connect again.

Gmail

Press “Connect Gmail”. Email is sent from your connected account; the recipient or the text can be the answer of the visitor running the flow.

Actions: searching, reading, sending, replying to and forwarding email; archiving, marking read, starring, adding and removing labels; drafts; reading attachments; filters, auto-reply and signature.

“Send email”, “Reply”, “Forward” and “Send draft” send from your account. “Delete permanently”, “Move to trash”, creating filters, setting the auto-reply and changing the signature count as irreversible.

Google Calendar

Press “Connect Google Calendar”. After connecting, choose a “Default calendar” on the card: when a step has no calendar selected, events are read from and written to it. If you don't choose one, your account's primary calendar is used. Times are written in the calendar's time zone.

Actions: getting and searching events, getting free slots, checking availability, creating events and recurring events, adding a Meet link, adding and removing attendees, updating, moving and deleting events; managing calendars and sharing.

Actions that send invitations (adding attendees) or share the calendar need confirmation on the step. An appointment written to the calendar can also be sent as the “Appointment booked” event in Measurement settings.

Google Drive, Docs, Sheets and Slides

These four share one connection: pressing “Connect Google Drive” connects Docs, Sheets and Slides too, and connecting from their pages connects Drive. Removing the connection from any of them stops the steps of all four.

  • Drive: searching files and folders, reading file content, renaming, copying, moving, trash, creating folders, sharing with a person or a link, comments.
  • Docs: creating and reading documents, replacing content, inserting text, find and replace (for example filling a template with answers).
  • Sheets: appending and finding rows, reading and writing ranges, formatting, sorting, adding and deleting sheets, charts, pivot tables and more. Values are written to the sheet as they are; a visitor's answer does not run as a formula.
  • Slides: creating and reading presentations, adding and deleting slides, find and replace.

Disconnecting

Press “Remove connection” on the app's page and confirm. That app's flow steps stop working; your emails, events and files stay as they are.

If you see a warning that the connection can't be used, the permission may have been removed from your Google account or the required permissions may have changed; remove the connection and connect again.
